AFSA is currently seeking an organized and dependable Administrative Assistant in the Accounting & Finance Department who wants to be part of our mission. The Administrative Assistant responsibilities include (but are not limited to the following) This is an entry level position. Additionally, the job role requires no enlistment and is a civilian post.
Essential Job Responsibilities:
[Other Essential projects and duties may be assigned.]
Provide administrative support to the office.
Prepare vouchers for payment.
Input data from Chapter & Division Financials to be included in the annual 990 filing.
Maintains the Contract Listing of vendor agreements; updates the listing adding any new contracts and notifies the Director of impending expiration dates on the contracts as needed.
Maintains chapter & division rebate support program. Review and reconcile chapter & division quarterly reports and prepare RFP’s when authorization is received to release payments. Prepare reports as needed.
Contacting members regarding membership issues.
Run and print monthly membership billing.
Print membership ID cards.
Collect and maintain Chapter and Division group authorization forms.
Print iMIS monthly reports.
Enter ACH Payments in BOA Cash Pro
Back up for the Funds processor to process new member and member renewal applications to include receipt of payments via cash, check, or credit card; post member dues accurately in IMIS database; generate membership form letter and Life ID cards for mailing weekly; pulls list weekly of Life ID cards that do not populate on form letter and generates single ID cards as needed.
Back up for the Funds processor to receive, batch and accurately process funds in a timely manner for:
o Orders for items available for sale to the membership, divisions, chapters, and public.
o Donations to the Scholarship Program(s), AMM Museum, etc.
o Fundraising campaigns.
o PAC Conference Registrations and Advertisements.
Back up for the Funds processor to prepare funds receipts batches for accounting verification.
Filing revenue vouchers, payables, and batches.
Non-Essential Responsibilities:
Other duties may be assigned by the Executive Director, Chief of Staff/Director of A&F or the Deputy Director of A&F.
Supervisory Responsibilities:
None.
Minimum Qualifications:

High School diploma or GED equivalent, with specialized course work in general office practices and a minimum of one (1 ) year of related experience, or any equivalent combination of related education and experience. Some knowledge and understanding of basic accounting concepts (i.e. debits and credits, liabilities, etc.) is required. Understanding of Air Force organization and culture is highly preferred. This job role requires no enlistment and is a civilian post.
Technical Competencies:
Knowledge of a membership database system (IMIS preferred).
Working knowledge of computers& software, 10-key adding machine, and check scanning equipment.
